01 — The basics

What is multi-currency billing?

Multi-currency billing means pricing work, raising invoices and recording costs in more than one currency, with an exchange rate connecting each amount back to your home currency. The client sees an invoice in the currency they pay in. Your reports still show revenue, cost and margin in the currency you account in.

For a firm with clients in more than one country, that is the difference between knowing what each engagement earned and estimating it.

Without it
  • Rates looked up by hand

Someone checks a currency website, pastes the rate into a spreadsheet, and the invoice is only as current as that paste.

  • Invoices stuck in one currency

Overseas clients get an invoice in your currency, or one rebuilt by hand outside the system that holds the work.

  • Margins you can't compare

A euro project and a dollar project sit in different units, so nobody can say which one actually made money.

  • Receipts typed in twice

A hotel bill paid in pounds has to be converted and keyed in again before it can be claimed or rebilled.

02 — How Chronodesk does it

True multi-currency support, with automated rates.

Currencies, rates, tax and banking details live in the same platform as your projects, timesheets and expenses, so the invoice is built from the work rather than rebuilt from a spreadsheet.

01

As many currencies as you need

Add every currency you trade in, then use it on clients, projects, invoices and expense claims.

02

Rates that appear automatically

Exchange rates are pulled in daily, so the rate is already there when you raise an invoice. Override it, or lock it on a project or invoice when a contract fixes the rate.

03

Each client billed in its own currency

Set a billing currency on a client, or on an individual project where the contract says otherwise. Invoices are raised in it.

04

Profitability in any currency

See revenue, cost and margin in the project's currency and in your own, so projects billed in different currencies compare like for like.

05

Expense claims in any currency

Staff claim in the currency they paid in. Chronodesk converts the claim automatically for reimbursement, project costing and rebilling.

06

Invoices built for every market

Customisable invoice templates, VAT and tax settings, and banking details per currency, so each invoice reads the way that client expects.

03 — Invoices, tax and banking

Configurable down to the last line of the invoice.

A client in another country expects their own currency, the right tax treatment and an account they can pay into without fees. Each of those is a setting, not a manual edit.

Invoice templates

Customise the layout, branding and details each invoice carries, and keep more than one template for clients that need something different.

VAT and tax settings

Configure the tax you charge, whether VAT, GST or sales tax, and apply the right treatment to each client.

Banking details per currency

Hold separate banking details and show the right account on each invoice, so a euro client pays into your euro account and a dollar client into your dollar account.

04 — How it fits together

From timesheet to foreign-currency invoice.

  1. Step 1

    Set the currency

Choose the client's billing currency, or the project's if its contract differs.

  2. Step 2

    Capture time and expenses

Approved hours come from timesheets, and expenses are claimed in whatever currency they were paid in.

  3. Step 3

    Invoice at today's rate

The invoice drafts in the client's currency with the day's rate already applied. Override it if the contract fixes the rate.

  4. Step 4

    Report in yours

Revenue, cost and margin roll up in your home currency, next to the amounts the client was billed.

It is one path from delivery to cash, the same one that runs through our professional services automation software. For firms whose clients sit in several countries, see how Chronodesk works for professional services firms.

What is multi-currency billing software?

Multi-currency billing software lets a business price work, raise invoices and record costs in more than one currency, converting between them at a known exchange rate. Each client is invoiced in its own currency while reporting stays in the business's home currency. Chronodesk does this inside the same platform that runs projects, timesheets and expenses.

How often are exchange rates updated, and can I override them?

Chronodesk pulls exchange rates automatically every day, so the current rate is already filled in when you raise an invoice or record an expense. If a contract fixes the rate, or your finance team works to a different one, you can override the rate or lock it on the project or invoice.

Can I bill different clients and projects in different currencies?

Yes. Set a billing currency on each client, or on an individual project where the contract is in a different currency. You can add as many currencies as you need.

Can I see project profitability in my home currency?

Yes. Revenue, cost and margin are shown in the project's billing currency and in your home currency, so a euro project and a dollar project can be compared on the same basis.

Can employees submit expense claims in foreign currencies?

Yes. Staff record an expense in the currency they paid in, such as a hotel bill in pounds, and Chronodesk converts it automatically. Nobody has to look up a rate before the claim is reimbursed or rebilled to the client.

Can invoices show different VAT settings and banking details per currency?

Yes. Invoice templates are customisable, tax settings such as VAT, GST or sales tax are configured to match each client, and you can hold separate banking details for each currency so a euro invoice shows your euro account.

Which Chronodesk plan includes multi-currency billing?

Multi-currency billing is included on the Advanced plan at $40 (R600) per user per month, and on Enterprise. Every plan starts with a 14-day free trial.
