Overview
The Chronodesk Xero integration allows businesses to turn captured time and project work into invoices and quotes directly in Xero, removing duplicate data entry and simplifying billing workflows. Chronodesk acts as the operational system for time and work management, while Xero remains the source of truth for accounting data.
This integration is designed for service-based teams that want accurate billing, clear auditability, and minimal administration.
What the Integration Does
Chronodesk integrates with Xero to:
- Create draft invoices in Xero from captured time and project data
- Create quotes in Xero directly from Chronodesk
- Automatically create items in Xero if they do not already exist
- Use Xero account information to ensure financial accuracy
Note: Chronodesk does not modify accounting data in Xero beyond creating invoices and quotes.
Source of Truth
- Xero is the source of truth for accounting and financial configuration.
- Chronodesk pulls required account information from Xero.
- Items are created in Xero only when needed for invoicing.
- Invoices and quotes are always created by Chronodesk and posted into Xero.
Prerequisites
Before connecting Chronodesk to Xero, ensure:
- You have access to a Xero organisation.
- The user connecting the integration has Xero Admin permissions.
- Only one Xero organisation can be connected per Chronodesk tenant.
Connecting Chronodesk to Xero
- Log in to Chronodesk.
- Navigate to Admin → Integrations → Xero.
- Click Login to Xero.
- Authenticate using your Xero Admin credentials.
- Confirm the connection is successful.
Once connected, Chronodesk is ready to create invoices and quotes in Xero.
Creating Invoices from Time
Chronodesk allows time captured against projects, tasks, and clients to be converted into invoices:
- Capture and approve time in Chronodesk.
- Navigate to Reports → Timesheet Reports.
- Select the required date range.
- Click Create Invoice.
- Choose your client and grouping options.
- Review the invoice in Chronodesk.
- Click Post to Xero.
The invoice is created as a draft invoice in Xero, ready for review and sending.
Creating Quotes in Xero
Chronodesk also supports the creation of quotes directly in Xero using the same underlying client and item logic. Quotes are generated in Chronodesk and posted to Xero for final approval and sending.
Security & Permissions
- Secure authentication is handled via Xero’s OAuth 2.0 process.
- Only authorised Xero Admin users can connect or disconnect the integration.
- Chronodesk does not store Xero credentials.
Troubleshooting
If you experience issues with the Xero integration:
- Go to Admin → Integrations → Xero.
- Click Unlink.
- Reconnect Xero by logging in again.
- Retry your invoice or quote creation.
If the issue persists after reconnecting, please contact Chronodesk Support for assistance.
Unlinking / Offboarding
To disconnect Xero from Chronodesk:
- Navigate to Admin → Integrations → Xero.
- Click Unlink.
- Confirm the action.
This safely disconnects the Xero organisation without affecting existing invoices or data.
